The progress of a service

  1. The customer contacts Med My Day via the website's contact form, chat, or social media.
  2. The customer chooses their package, options, and supplements. The quote is established according to its needs.
  3. One or more dates can already be submitted or agreed at that time for the service(s).
  4. Once the payment is made, the client will receive a confirmation from Med My Day.
  5. On the day of the service, the client undertakes that everything is in order in terms of access authorization to the field or in the room, the possibility for the photographer to move freely to vary the angles and take the best possible photos, and also the safety of the photographer and his equipment (car and photo equipment).
  6. The photos are delivered digitally according to the chosen conditions (see point "Delivery and storage of photos).
  7. If there are additional costs during or after the service (kilometers, hours, photo retouching, etc.), they can still be invoiced immediately after the service. The delivery of the photos is only made when the payment has been completely made and confirmed.

Delivery and storage of photos

  • Digital delivery of unretouched photos within 4 working days for each pack (48 hours for the ULTIMATE pack), starting the day after the service date.
  • If the client has chosen the professional retouching service, they choose the photos to be retouched from the raw photos. The timeframe is the same when the client has chosen the photos to be retouched (4 working days or 48 hours).
  • 24-hour delivery is available as an option (10% of the price of the chosen pack). This option can be purchased when purchasing the pack, or after delivery of the unretouched photos
  • For all packs, photos are hosted on the cloud for 15 days, accessible via a secure link.
  • Raw files are the property of Med My Day. They are available for sale for 10% of the price of the pack and are invoiced at the time of the initial order or after the service. (For example, if you choose the individual Starter Pack for €150, RAW files are available for €15).

Travel expenses

  • Travel costs are invoiced when the order is complete (when there are no additional trips other than the round trip) or after the service (if additional trips during the service)
  • Travel costs: €0.30/km
  • The round trip kilometers are counted (from my home Chaussée de Huy 24, 1300 Wavre).
  • If the service includes additional trips (for example, the location of the portrait shoot is different from the location of the match), these trips will also be invoiced (before or after the service). The costs cover: time spent on the road, wear and tear on the vehicle, fuel costs, car insurance, etc.

The above prices cover

  • Preparatory discussions between the client and Med My Day (meetings, email exchanges, calls, etc.)
  • Preparation of the photo shoot/photographic coverage of the match on the day.
  • The photographic service itself Post-production: selection/sorting, processing/retouching, export.
  • Digital delivery and temporary hosting of photos on a cloud (for 15 days, accessible via a private and secure link).
  • The cost of wear, maintenance and use of the equipment used: camera (+ batteries), lenses, computer, processing software, equipment insurance, etc.
  • Business expenses: taxes, social security contributions, professional insurance, advertising costs, accounting costs, website, etc.

Image rights

  • Authorization required
    Any identifiable person in our photos must have given their consent.
    Adults: individual authorization to be signed.
    Minors: authorization signed by the legal representative (parent/guardian).
    A digital copy of the authorization will be provided upon delivery of the photos.
  • Match/event shots
    Wide scenes of the public may be broadcast for information/atmosphere purposes.
    Close-up portraits of players/staff/supporters require the consent of the individuals (or the club for its members).
    Clubs/organizers are responsible for obtaining, if necessary, accreditations and venue permissions.
  • Use of images (license)
    Unless otherwise stated in writing, the photos are assigned to the club/player under a non-exclusive license for:internal communication, website, social networks, local press, partner/sponsor files.
    Any other use requires additional agreement.
  • Credits & integrity
    Recommended credit: © Med My Day. No retouching that alters the integrity of the already retouched image is permitted (reasonable cropping is permitted).
    Unretouched or raw (RAW) photos are free to be retouched and modified by the club/player/member/supporter.
  • Duration & Withdrawal
    Lifetime use period.
    Right of withdrawal possible for legitimate reasons; content already published by third parties may not be fully removable.
  • Data Protection (GDPR)
    Images and associated information are processed in accordance with the GDPR: limited purposes, secure storage, restricted access. You can request access, correction or deletion of data concerning you.
